- The guest of honor and the host
- The date, and the start time in at least two time zones if anyone is out of state

- The platform: Zoom, Google Meet, FaceTime, WhatsApp video
- How the join link arrives, and when
- How long it runs, because guests on video want an exit

- One RSVP method, not three
That sixth item does more work than it looks. A card can say "2:00 PM" and let the party end when it ends. On video, guests sit there until someone breaks. Write "2:00 to 3:15 PM" and everyone relaxes.

How to handle the join link
Send it in the RSVP confirmation, never on the invitation. Two reasons. A link on the invitation gets forwarded, and a Zoom room without a waiting room enabled lets anyone holding the URL walk in. Holding the link back also gives you a non-nagging reason to message the people who never replied.
Send it again the morning of the shower, and most of the "I never got the link" messages disappear.
How to handle time zones
Write the host's time zone first, then two others, then stop. Four or more turns the line into a train timetable. If your guest list crosses an international date line, spell out the day in the far time zone the way Example 3 does, because "9:00 AM" without "Sunday" has ruined more than one virtual shower.
How to handle gifts
Virtual showers make the gift question louder, because there is no gift table to quietly skip. Pick one of two lines. Name the registry and note that items ship directly to the parents, or write "no gifts, your face on the screen is the gift" and mean it. Half-signals like "gifts optional but appreciated" put guests in the exact position you were trying to spare them.

Office Baby Shower Invitation Wording
Workplace showers need a tone the other categories do not: low pressure, opt-in, financially neutral. Colleagues sit at wildly different income levels, some are on deadline, and some are quietly dealing with fertility or loss and would rather not spend an hour on it. The EEOC's pregnancy guidance is a reminder that anything resembling a mandatory pregnancy celebration is a bad idea for reasons beyond etiquette.
Three rules. Say gifts are not expected. Give a real out. Never put a dollar amount in writing.
Example 13 We are celebrating Jordan before parental leave starts. Thursday, 3:00 to 3:30 PM, the third-floor kitchen. Cake for everyone, gifts not expected. Drop in if you are free.

Gender-Neutral, Adoption, and Surrogacy-Friendly Wording
Copy written only for a pregnant guest of honor quietly excludes adoptive parents, intended parents working with a surrogate, and anyone not disclosing much yet. The fix is small: celebrate the arrival rather than the pregnancy, and name the parents rather than "mom-to-be." RESOLVE, the National Infertility Association, catalogues how many family-building paths are in play, which is a good argument for wording that assumes none of them.

A few phrases that work regardless of path: "welcoming their little one," "as they become a family of four," "before Baby [Surname] arrives," "celebrating the newest [Surname]." A few to retire: "before she pops," "showering mom-to-be," anything about a due date when there might not be one, and any joke about how the baby got here.
If a guest replies that they would rather not attend, take it at face value and do not follow up. That reply is often carrying more than it says.
Collecting RSVPs When the Invitation Is a Link
Text invitations get replied to sloppily. You will get "yes ok", "maybe, depends on Ryan's game", and three people who react with a thumbs up and consider the matter closed. None of that is a headcount.
A link-based invitation asks the questions for you. One event page collects the attending count, the in-person-or-online choice, dietary notes, and the mailing address for gifts in a single pass.
